The hirer herby agrees to the Terms of Hire as set out below:

1. General Terms. 

1.1 A non-refundable holding deposit of £100 is required to reserve your hire. This will be deducted from the hire price.

1.2 All drivers must hold a valid UK driving licence and meet insurance requirements as stipulated in clause 4.1.1

1.3 A security deposit of £1000 must be paid at least 7 calendar days prior to collection of the Motorhome. If the security deposit is not paid in time, your booking will be cancelled and a cancellation fee will be charged as per our Cancellation Policy. The security deposit will be refunded within 48 hours after the return of the motorhome once the Post Hire Inspection has been signed by both parties. Any deductions for damage beyond fair wear and tear will be taken from your security deposit, these will be discussed at the Post Hire inspection.

2. Collection and Return

2.1 The Pre Hire inspection must have been completed and signed by both parties. This forms an agreement between the hirer and Exmoor Escapes that any prior damage has been logged before and after your hire.

2.2 The motorhome must be collected at 14:00 and returned at 12:00 at the location specified in the booking confirmation email.

Please allow 1 hour for collection to complete the documentation and demonstrate the Motorhome to you. All drivers must be present on collection of the motorhome and bring their full valid licence.

Exmoor Escapes will make every effort to have the Motorhome ready for 14:00 however we cannot guarantee that it will be ready for this time. Should this be the case no refunds will be due to you, there will be no extension of your hire, and the Motorhome will still be required to be returned at the return time on the return date.

2.3 A late return will incur an additional charge of £15 per hour, per day past the drop off time.

2.4 Upon return, the motorhome must be:

• In the same condition as found in the pre hire damage - log.

• With an empty waste water tank.

• With an empty toilet waste cassette. (Instructions are provided in the booklet in the Motorhome)

• With a full tank of Diesel.

2.5 Upon return, the Post Hire inspection will be completed by Exmoor Escapes staff, and must be signed by both parties. This is compared with the Pre Hire inspection, and any difference in condition will be noted as having occured during your hire.

2.6 On return of the motorhome, an inspection will be completed by Exmoor Escapes with you present and the Post-Hire Inspection will be signed by both parties. Where damage is identified post - hire and not recorded pre - hire, it will be deemed to have occurred during the hire period unless you can reasonably demonstrate otherwise.

3. Additional Fees

3.1. Failure to return the motorhome in the condition specified in clause 2.4 will result in the following charges:

• Emptying of waste water tank: £15

• Emptying of toilet waste cassette: £50

• Refuelling to a full tank: £15 + cost of Diesel

  
  

3.2. A cleaning charge may apply if, in our reasonable opinion, the vehicle is returned in an unreasonably dirty condition. This includes, but is not limited to:

• Mud or dirt on floors, walls, or upholstery

• Unclean kitchen appliances or surfaces

• Unwashed dishes or food debris

• Stains, spillages, or strong odours (e.g., smoke, food, pet)

• General neglect of basic cleanliness or hygiene

The charge for excessive cleaning will range from £10 to £300 if required. Photographic evidence will be provided upon request.

3.3. Damage to the motorhome and its equipment will be assessed in the post - hire damage log and compared to the pre - hire log that was agreed to. Repair costs will be deducted from the security deposit.

3.4 A mileage limit of 1000 miles per 7 calendar days will apply to the hire, unless agreed in advance with Exmoor Escapes. A charge of 40p per mile will apply if this limit is exceeded.

3.5 An extra £30 per dog will be added to your hire price in the event any dogs are taken in the Motorhome. Dogs are not to be allowed on the beds. The hirer must use the dog blankets provided when allowing a dog on the upholstery.

3.6 An extra £25 per night will be applied to the hire price in the event the Motorhome is taken abroad.

4. Insurance and Liability

4.1 The hirer is not required to take out any additional insurance to cover their trip. Exmoor Escapes has insurance that will cover you to drive the vehicle, included in the price of hire.

4.1.1 The requirements to be covered by our insurance are as follows:

• An email of a photo of each photo card driving license of each driver sent to us prior to your booking.

• A driving license check code of each driver to be generated and supplied to us via email following the instructions here.

• You must email us two photos of two different forms of proof of address (utility bill, bank statement etc)

• Your security deposit must be paid in full.

• This hire agreement has been signed by hirer and and each driver.

• Any driver will not drink or drug drive, drive off road (except where accessing campsite property), or drive with any negligence.

  
  

Additional requirements:

• All drivers must hold a full UK driving license, be a minimum of 23 years of age, a maximum of 75 years of age and have at least 2 years driving experience.

• Two, 3 point convictions are acceptable (i.e. 2x SP30's, 3 points each) without referral.

• Single 4 point offences are acceptable without referral.

• Single 6 point SP30, SP50 and CU80 convections are acceptable subject to a £ 1000 excess (to be covered by the Hirer). All other 6 point offences will render the hire void.

• No more than one fault or outstanding incident/claim in the last three years.

Should it be required to be paid, an excess of £700 for drivers aged 23 - 24 and an excess of £500 for drivers 25 - 75. The hirer will be liable for this cost should an insurance claim be required.

Note: Abroad travel is covered by our insurance. Please be sure you have selected abroad while checking out.

4.2. The hirer is responsible for any damage (except where caused

by fair wear and tear), loss, or theft of the motorhome and its contents during the hire period.

4.3. All drivers must comply with all road traffic laws and ensure safe usage of the vehicle at all times.

4.4 The hirer is liable to pay all fines incurred during the hire period including but not limited to; fines for driving on toll roads and low emission zones, parking fines and speeding offences.

4.5. Any accidents or breakdowns must be reported to Exmoor Escapes immediately.

Exmoor Escapes’ liability is limited to the value of the hire, except in cases of death or personal injury caused by negligence.

Please note that smoking in the Motorhome is NOT permitted.

Please note that using the Motorhome for any purpose other than travelling to or from campsites or other suitable locations and as accommodation is prohibited.

Exmoor Escapes shall not be liable for any failure or delay in performing its obligations under this Agreement where such failure or delay results from circumstances beyond its reasonable control. This includes, but is not limited to: acts of God, fire, flood, extreme weather, epidemic or pandemic, war, terrorism, civil unrest, strikes, labour disputes, changes

in law or regulation, government-imposed restrictions, fuel shortages, or failure of suppliers or subcontractors.

This also includes the motorhome becoming unavailable due to unexpected mechanical failure, accident, theft, or any damage that renders the vehicle unsafe or unlawful to operate, despite reasonable maintenance efforts.

In such circumstances:

1. Exmoor Escapes will notify the hirer as soon as reasonably possible.

2. Where feasible, Exmoor Escapes will offer an alternative vehicle or rearrange the hire for a later date.

3. If no suitable alternative can be provided, a full refund of all monies paid will be issued. Exmoor Escapes shall not be liable for any consequential losses incurred by the hirer, such as travel or accommodation costs.

If the force majeure event or vehicle unavailability continues for more than 14 consecutive days, either party may cancel this Agreement without penalty.

This Agreement shall be governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the English courts.
